Fuel Cards
The register of fuel cards — a name, the last 4 digits and the account, never the card number — with the vehicle or driver that holds each one, its status and recent spend.
Fleet → Fuel Cards (/operations/fleet/fuel-cards). Every fuel card the business holds, with active cards first.
Onyx never stores a card number. A card is a name, its last 4 digits and an account reference. A name or reference containing 8 or more digits in a row is refused.
The list
Section titled “The list”Each card shows its name, provider, last 4 digits, Vehicle, Held by, expiry (month and year), credit limit, Last 90 days (spend and litres), Last used and status. Last used links to the card’s refuels on Fuel. A camera icon opens a photo of the card, if one is attached.
Cancelled cards are hidden. Tick Show cancelled cards to see them.
Adding and editing a card
Section titled “Adding and editing a card”Add fuel card opens the form; the pencil on a row opens it filled in. Operations and Admin accounts only.
- Card name is required — for example Motorpass — Truck 12. It must be different from every other card that is not cancelled, because the refuel form lists cards by name.
- Provider, Last 4 digits (exactly four, or blank) and Account reference (the account’s name or a short reference).
- Vehicle (or Not tied to a vehicle) and Held by (a driver, or Nobody in particular).
- Expires: the month printed on the card.
- Credit limit ($) and Notes.
- Card photo (optional): front and back if you like. Only operations staff can open them. ⚠️ A photo shows whatever is printed on the card, so take one only if you need it. Admin accounts can remove a photo; press Remove twice.
If a photo fails to upload, the card is still saved — click Save card again to retry. It will not create a second card.
Status
Section titled “Status”- Active: can be chosen on a new refuel.
- Inactive: paused. The pause and play buttons on a row switch between Active and Inactive.
- Lost / stolen and Cancelled: set in the form.
Only Active cards can be chosen on a new refuel. Past refuels keep their card whatever its status, and editing an old refuel does not lose it. Reactivating a cancelled card is refused if another card has since been given its name.
There is no delete. Cancel a card you no longer use.
